Manage System Parameters and Group features in InfoCenter Web

The administration and configuration of the System Parameters for the Library and the features that are available for a user’s primary Group can now be configured in the InfoCenter Web interface.


Pre-requisites for this functionality:
• The DM Server needs to be version 24.4
• The user needs to be a member of DOCS_SUPERVISORS
• The user has to be a member of a group that has the “Manage Library Parameters” permission

Default access permissions

When adding a user or group to the Access Control List – Permissions to a profiled document or folder it will default to “Normal” as the “Access rights” to match the functionality in the DM Extensions.


• Normal Access includes View Profile, Edit Profile, View Document, Retrieve Document, Edit Content, Copy
• Normal Access does not include Delete, Control Access
• Users can change the access to “Full Access” which will add the Delete, Control Access to the user or group being added to the trustee list.

Default access configuration options
The values that determine which access rights are set by default are:
• View = 0
• Read Only = 1
• Normal = 2
• Full Access = 3

How to change the default access permission

If you want to keep full access as the default when adding users or groups to the Access Control List, you can configure this in the RESTAPI.JSON file.
In the “UserSettings” section you can add the following value which will apply to everyone, this example is for “Full Access”

If you want to keep normal access as the default but want to change it for a specific group to have “Read Only” as the default and another group with “Full Access”. This is setup in the “UserSettingsByGroup” section.
In this example the DOCS_Supervisors group has “3” for Full Access and the Litigation group has “1” for Read Only.

Administrative control over default email action
 
 

Many customers want to use “Document URL” as the default email action instead of attaching the document to the email. With “Document URL” they can direct the recipient of the email to the document in the InfoCenter web interface.


Administrators can now select the default action for when a user selects a document and the email action. Instead of the default option of “Document” as an attachment they can set the default to any of the options, in this example they can set “Document URL” and the link type for the URL such as “View”.

The administrator can also allow the user to set their own personal default with the “User can override” option or force the user to use the administrative setting.

Import folder structures and content from Microsoft Teams 

This new feature is implemented in the InfoCenter web interface where the user will now see a “Save to eDOCS” option in the menu bar when selecting a folder in Teams. In previous releases the “Save to eDOCS option was only available when the user selected documents.


When selecting Microsoft Teams from the hamburger menu and browsing the structure or opening a Tile that is linked to a Teams location, when selecting a Folder they will see the new Save to eDOCS action.

This feature requires the user to have the “Can Create Folders” permission for their primary group, if they do not have that permission, they will not see the “Save to eDOCS” action when selecting a folder.
The user will be informed that they are importing the folder to eDOCS and will be prompted to complete the folder profile form.

After they complete the profile form for the Folders, they will be prompted to fill in the profile form for the documents and can select apply to all for the metadata or be prompted to fill in the metadata for each individual document.


The user will be informed of the progress of the import during the bulk process.

When the bulk import is complete the user will be notified about the number of folders and documents created.

Note: If the user preference is set to remove files from Teams it will remove the folders and documents after they are saved to eDOCS.

Increased items per page

New selection setting for the display of the number of items per page. All users with DOCS_USERS as their primary group will see the new option of 200 items per page.

• Administrators can increase the number to 500 for selective groups.

Persistent What to Search setting

When entering values into the Search bar, the user can set what to search
• Profile and content
• Profile only
• Content only
The user setting is now persistent and will be maintained between InfoCenter sessions.

Search within a folder with MindServer

The search within a folder or folder and sub-folders is now supported with OpenText MindServer as the indexing engine.

Customize icons for third party applications

In Library maintenance you may have setup integrations with custom applications and when content from those applications is added in InfoCenter it uses a default icon for the document.
You can configure InfoCenter to use a custom icon for your applications.
As an example, if you have setup Winzip as the application for ZIP files.

This functionality is available by adding a “application.svg” file that matches the name of your application configured in eDOCS. The application.svg file goes into this directory:
C:\Program Files\Open Text\eDOCS IC Web Browser\assets\images

Toggle between List and Summary view in InfoCenter Office

Users can toggle between the document summary view or list view in the InfoCenter Office clients in an environment that is using OpenText MindServer as the document indexer.
In the office client the user will see a new icon to toggle between the List and Summary view.
When in list view they will see:

Microsoft Office and Outlook support

InfoCenter for Office and Outlook requires a version of Office that includes Edge Chromium and WebView 2 for the Office Add-ins feature.
Office versions that are using Trident and Internet Explorer for the Office Add-ins feature need to use InfoCenter for Office 23.3 or prior.
Browsers and WebView controls used by Microsoft Office versions.

Discontinued and deprecated features

The following features have been discontinued in this release:
• Microsoft announced that they ended support for Office 2013 on April 11, 2023. eDOCS 23.2 or greater have not been tested with this version of Microsoft Office and we recommend that customers upgrade to a more current version of Office.

InfoCenter AppWorks clients will be deprecated in 25.2

The InfoCenter clients that are based on the AppWorks Gateway will be discontinued in the 25.2 release scheduled for the second quarter of calendar year 2025.
These clients are the InfoCenter Desktop and InfoCenter Mobile apps that use the AppWorks Gateway server and AppWorks Desktop or AppWorks Mobile clients.

IMPORTANT: The InfoCenter Desktop on Windows was available prior to the InfoCenter Web interface and InfoCenter Office clients. Customers who are using the InfoCenter desktop which requires the AppWorks Gateway and OpenText Directory Services are encouraged to switch to InfoCenter Web with InfoCenter Office and the Personal File Transfer Agent for their users on the Windows desktops. The InfoCenter Web is supported for tablet and mobile phone users to access the application. The InfoCenter Desktop will be deprecated in the 25.2 release in Q2 calendar 2025
